Gym Instagram accounts get a specific flavor of comment: "what time," "how much," "is this still open." Repetitive, predictable, and exactly the kind of question automation handles better than a front desk person checking their phone between sets.
The three comments that show up on every post
Almost every gym or coach account gets some version of the same three questions, over and over, across totally different posts: pricing, schedule, and whether a specific class or spot is still available. None of these need a human judgment call, they need a fast, consistent answer, which is precisely what a keyword trigger is good at.
Set up one automation per question type. "Comment PRICING" sends your rates and what's included. "Comment SCHEDULE" sends your class times or booking link. Keep them separate rather than one automation trying to cover everything, because a person asking about pricing doesn't want your full class schedule pasted at them too.
Challenge and program launches
Fitness challenges (a 30-day program, a nutrition reset, a seasonal transformation push) generate a burst of "sign me up" comments concentrated in the first day or two after you post about it. This is the highest-value moment for automation, because manual replies during a launch window mean some people wait long enough to lose momentum and just don't follow up.
The DM should go straight to the signup form or payment link, not a "thanks, more info coming soon" holding message. Class waitlists without a spreadsheet
When a class fills up, "comment WAITLIST and I'll send you the spot form" is a cleaner system than manually tracking who commented in what order. The automated DM can link to an actual waitlist form, and because it fires the same way for the first commenter and the fiftieth, nobody gets missed just because the front desk was busy with a member checking in.
For time-sensitive classes, make the keyword specific to that class, not a generic "waitlist" trigger shared across every session. "Comment 6AM" for the 6am class keeps people from ending up on the wrong list.
What still needs a real person
Membership cancellations, injury concerns, billing disputes, anything where the person needs to feel heard rather than routed. Automating these makes a gym feel like a call center, which is the opposite of what most fitness brands are trying to project. Use automation for the transactional, predictable stuff (schedules, pricing, signups) and keep the personal interactions personal. Members can usually tell the difference, and they're generally fine with a bot handling the schedule question as long as an actual coach is still reachable for anything that matters.
Story-based check-ins
Coaches running online programs often post a weekly check-in story ("how'd this week go? reply and let me know"). Automating an acknowledgment to that reply, before a coach personally follows up later, keeps clients from feeling ignored during the gap between when they reply and when a human actually reads it.
